Vacation and Sick Accrual Information


Civil Service Exempt & Non-Exempt Vacation Accruals

  • Step will change on the last day of the pay period of the anniversary of the plan date
  • Step is determined by plan date (or date of hire)
  • Plan date may be earlier than hire date if employee has verified prior state or university employment
  • Plan date may be later if employee has had any non-paid leaves, AWOP, or FTE has been less than 100% anytime during employment
  • AWOP or non-paid time adjustments to accrual and balance will be made as received in HR Benefit Services (semi-monthly)
  • Policy Maximum is the maximum accrued vacation that is payable upon separation of employment.

Civil Service Exempt & Non-Exempt Sick Accruals

  • Civil Service sick leave will be accrued at 3.75 hours per semi-monthly pay period and 3.465 per bi-weekly pay period, for a total of 12 days per year
  • AWOP or non-paid time adjustments to accrual and balance will be made as received in HR Benefit Services (semi-monthly)
  • There are no maximum accruals for sick; however, only half of the sick accrued between January 1984 and December 31, 1997 would be payable upon separation from employment
     

Faculty, Principal Administrative and Research - Continuing Appointments – Vacation Accrual

Full-time and part-time faculty and principal administrative employees in continuing positions earn vacation time at the rate of 25 days per year to a maximum of 28 days per year after 10 years of service. The maximum amount for each rate is equal to the amount of vacation that could be accrued in a two-year period or a total of 56 days after 10 years of service. At the time of separation from the University, all accrued and unused vacation time is payable in a lump sum or transferred to another university or state agency if applicable.

Vacation for faculty and principal administrative staff employees on continuing fiscal year appointments shall be earned at the following rates:

Faculty, Principal Administrative and Research - Continuing Appointments – Sick Accrual

Full-time and part-time faculty and principal administrative employees holding continuing fiscal appointments are granted non-accruable sick leave at the beginning of each fiscal year. The rate for non-accruable sick leave is 43 days per year, or 3.584 days per month of appointment. Full-time continuing faculty and principal administrative appointees will also earn 7.2 days per fiscal year of accruable sick leave or prorated over the number of months if less than a full fiscal year. There is no limit in the amount of the accruable sick leave, which may be accumulated. If the appointment is less than full-time, the number of days, which are granted or earned, will be adjusted according to the percentage of the appointment.


Faculty, Principal Administrative and Research - Term Appointments – Vacation Accruals

Full-time and part-time faculty and principal administrative employees (including researchers) holding term fiscal appointments are granted vacation days per month based on the number of months of the appointment and in accordance with the percentage of appointment. The rate of vacation time granted is 25 days per year to a maximum of 28 days per year after 10 years. All vacation time is granted at the beginning of the term appointment and must be used prior to the ending date of that appointment or it will be lost. If employee separates prior to the end of the appointment, the granted vacation is pro-rated to the actual appointment period. There is no compensation at the time of separation for any unused balances.

Faculty, Principal Administrative and Research -Term Appointments - Sick Accruals

Sick time reported for faculty and principal administrative employees in term fiscal appointments is deducted from the non-accruable sick leave granted for the fiscal years (43 days per year).


 

Professional Development Leaves

Paid professional development leaves are available to faculty and principal administrative employees but must not exceed a period of one (1) year. In order to qualify for this type of leave, an employee must demonstrate the benefits of the leave for both the School and the employee.
 

Sabatical Leaves

Full-time tenured faculty are eligible for sabbatical leave after six (6) years with the school or after six years from the end of a previous sabbatical leave. If a faculty member holds a fiscal year appointment, he or she may be granted a sabbatical leave at full pay for up to six (6) months or a sabbatical leave at half-pay for a full year. The remainder of a sabbatical may be supplemented for up to the full amount of an employee's salary by external sources awarded to the University for that purpose.
 

Other Leaves of Absence

An employee may be granted a leave of absence without pay to accommodate a number of situations. These include a visiting appointment at another university, a travel or research opportunity, advanced study or other personal reasons, including school visitation and family and medical leave. Faculty and administrative employees who hold continuing appointments are eligible to receive a leave of absence without pay. A leave of absence without pay will normally be granted for a period of up to one (1) year.
